Email Encryption: What You Need to Know

Protecting your personal and financial information is important to us. As part of our ongoing security practices, Northfront uses secure email encryption when sending sensitive information to clients.

This post explains what’s changing, why we’re doing it, and what it means for you.

 

 

What’s Happening

When Northfront sends you an email that contains sensitive or personal information, that email may be sent using secure email encryption.

When this happens:

     -You’ll receive an email from Northfront with a secure message

     -Before you can read the message or open any attachments, you may be asked to enter a one-time passcode

     -The passcode is sent to the same email address where you received the message

     -Once verified, you can read and reply to the email as usual

     -Replies within that same email conversation are automatically protected

You may notice an extra step when opening certain emails, this is expected.

 

 

Why We’re Doing This

Email is convenient, but it isn’t always private by default. Using secure email encryption allows us to add an extra layer of protection when sharing sensitive information.

It’s important to note that:

     -Secure email helps protect the message we send

     -It does not control or secure your personal email account

This means encryption works best when combined with good personal email security on your end.

 

 

What This Means for You

For most clients, the impact is minimal:

     -You may occasionally be asked to enter a one-time passcode to read an email

     -No special software or technical setup is required

     -Your regular communication with us does not change

     -Once you’ve opened a secure email, you can reply normally

Please note:
If you return to the secure email later you may be asked to re-enter a passcode. In some cases, access can remain active for up to 24 hours, depending on the options selected when opening the message.

 

 

A Reminder About Email Security

Email is an important part of how we communicate, and keeping your email account secure helps protect your personal information more broadly.

     -We recommend the following general best practices:

     -Use a strong, unique password for your email account

     -Avoid reusing the same password across multiple websites or services

     -Be cautious with unexpected emails, links, or attachments

     -Keep your devices and software up to date

These steps help reduce the risk of unauthorized access and support the safe exchange of information.

 

 

Attachments and Documents

When documents are sent using secure email, they are protected as part of that message. In some situations (such as sharing multiple documents or larger files) we may use a secure link instead of email.

We will always clearly explain what to expect and guide you through the process.
